Job Supervisory Responsibilities: None
Reports to: Providers and Executive Administrator
General Summary: A nonexempt position responsible for performing a variety of clerical duties for office and physicians.

Education: High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred.

Experience: Minimum two years of administrative assistant experience in a medical office setting.

Other Requirements: Medical administrative specialist certification preferred from American Medical Technologists.

Performance Requirements:
Knowledge:
■ Knowledge of medical terminology and office procedures.
■ Knowledge of grammar, spelling, and punctuation.
■ Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.

Skills:
■ Skill in operating office equipment.
■ Skill in organizational matters, including time management, prioritization, multitasking, and problem-solving.

Abilities:
Ability to use word-processing software. Able to learn/use other computer programs including Microsoft®Excel, e-mail, Internet, and Microsoft®Word.
■ Ability to read, understand, and follow oral and written instructions.
■ Ability to sort and file materials correctly using alphabetic or numeric systems.
■ Ability to communicate clearly and concisely.

Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public.

Essential Job Responsibilities:
■ Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail, paging, or redirection of calls as needed.
■ Greets patients and assists them as appropriate.
■ Explains financial requirements to the patients or responsible parties and collects copays as required.
■ Answers telephone, screens calls, takes messages, and provides information.
■ Prepares and processes correspondence.
■ Obtains, verifies, and updates patient information, including insurance coverage, and provides support services to patients and medical staff.
■ Requests, locates, sends, and receives patient medical records.
■ Schedules appointments for patients either by phone when they call in or in person after an office visit. If medical practice offers after-hours/one-day appointments, schedules these appointments following urgent/emergency protocols as in the case of a sick child, which may mean scheduling the patient with a physician or nurse practitioner other than their primary physician.
■ Uses manual/computerized system to match physician/clinician availability with patient's preferences in terms of date and time.
■ Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns. Provides daily schedules to physicians/clinicians or medical assistants prior to each day's visits. Copies also made available to the receptionist/registration clerk and others as needed.
■ Ensures that updates (e.g., cancellations or additions) are input daily into master schedule.

Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling. Consults with appointment manager about any system problems.

Uses customer service principles and techniques to deal with patients calmly and pleasantly.

Attends meetings, takes and distributes minutes.

Maintains files and assists in establishing office systems.

Orders office and clinical supplies when requested. Assists in the care and maintenance of office equipment.

Performs other duties as assigned.

Assists clinical staff in placing patients in rooms and cleaning rooms when vacated.

Equipment Operated: Office machinery including computers, fax, dictating machine, calculator, and photocopier.

Work Environment: Work performed in office environment. Involves frequent contact with staff and patients.

Mental/Physical Requirements: Manual dexterity for office machine operation including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
