Job Overview
We are seeking a highly organized and detail-oriented Medical Secretary to join our healthcare team. The ideal candidate will provide essential administrative support within a busy medical or dental office, ensuring smooth daily operations. This role requires excellent communication skills, proficiency with electronic medical records, and familiarity with medical and dental terminology. The Medical Secretary will serve as the first point of contact for patients and healthcare professionals, managing appointments, patient records, and administrative tasks efficiently.
Duties
Greet patients and visitors in a professional and friendly manner at the front desk
Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages
Maintain and update electronic medical records using systems such as Epic and Dentrix
Verify patient insurance information and process billing or payments as needed
Prepare and organize patient charts, reports, and other documentation
Assist with appointment scheduling, cancellations, and reminders
Handle correspondence via email, mail, or fax to coordinate care and administrative needs
Ensure compliance with healthcare privacy regulations and office policies
Support clinical staff by performing administrative tasks to facilitate patient care
Qualifications
Prior experience as a Dental Receptionist or Medical Secretary in a healthcare setting preferred
Proficiency with Electronic Medical Records systems such as Epic or Dentrix required
Strong knowledge of Medical Terminology and Dental Terminology is essential
Office experience with front desk responsibilities and multi-line phone systems preferred
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong communication skills—both verbal and written—are necessary for interacting with patients and staff
Familiarity with medical or dental office procedures and administrative practices is highly desirable
Ability to maintain confidentiality and adhere to HIPAA regulations
