Job Description

Overview
Seeking a Medical Receptionist/Secretary for our patient-focused family medicine clinic, dedicated to delivering compassionate, comprehensive care to individuals and families in our community. We are seeking an organized, empathetic, friendly and reliable Medical Secretary/Receptionist to join our team and ensure our clinic operates smoothly. This is a fast paced office, strong organization skills are needed and ability to focus on multiple tasks at once is required.

Responsibilities
· Patient Reception: Greeting patients, managing intake, checking patients in/out, and verifying demographic and insurance information.
· Appointment Scheduling: Managing High-Volume phone calls, scheduling and confirming appointments using our Electronic Health Record (EHR) system.
· Administrative Support: Sorting incoming mail, processing medical records requests, handling faxes, and managing general inbox communications.
· Clinical Support: Coordinating referrals to specialists, tracking lab/diagnostic test orders, and acquiring pre-authorizations as needed.
· Billing & Payments: Collecting co-pays, issuing receipts, and processing basic daily billing reconciliations.

Requirements
Proven experience as a receptionist or medical secretary in a healthcare setting with medical office experience
Knowledge of medical terminology and familiarity with electronic medical records systems
Excellent organizational skills with the ability to multitask effectively in a busy office environment
Previous experience handling front desk responsibilities in a medical or dental office is highly preferred
Exceptional communication skills—friendly, professional, and detail-oriented
Ability to maintain confidentiality and adhere to HIPAA regulations
Diploma or equivalent (Medical Office Administration diploma or certificate preferred).

1+ years of administrative experience in a medical office or healthcare environment
Proficiency with Electronic Medical Records (EMR/EHR) software .

Knowledge of medical terminology, and HIPAA/privacy compliance guidelines.

Strong communication, organizational, and multitasking skills with a customer-service mindset.
