Job Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. This role is essential in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience in medical or dental office settings is a plus, but a background in general office administration is also highly valued. The Office Administrator will handle a variety of clerical tasks, support customer service efforts, and maintain efficient office workflows to support our company's success.
Responsibilities
Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing systems, document proofreading, and organization of office supplies
Provide exceptional customer service to clients and visitors, supporting customer support initiatives
Assist with bookkeeping tasks and basic financial recordkeeping as needed
Coordinate appointment scheduling and manage calendar activities for staff members
Support administrative functions such as typing correspondence, preparing reports, and maintaining office documentation
Ensure the office environment remains organized, clean, and welcoming
Utilize strong phone etiquette to handle inquiries efficiently and professionally
Support medical or dental office operations if applicable, including managing patient records and supporting billing processes
Experience
Prior clerical or administrative experience preferred, especially within medical or dental offices
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Experience with QuickBooks or other bookkeeping software is advantageous
Strong computer skills including data entry, proofreading, and document management
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Demonstrated customer service skills with a professional phone manner and positive attitude
Familiarity with front desk procedures and multi-line phone systems is desirable
Previous experience in medical or dental reception roles such as Dental Receptionist or Medical Office Assistant is a plus
