Job Description
Job Summary
We are seeking a detail-oriented and organized Office Administrator to join our team. The ideal candidate will manage daily office operations, provide exceptional customer service, and support administrative functions to ensure smooth workflow. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple tasks efficiently in a professional environment.
Duties
Manage front desk operations, including greeting visitors and answering multi-line phone systems with professional phone etiquette
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing systems, document proofreading, and administrative support tasks such as scheduling appointments and managing calendars
Provide customer support via phone, email, and in-person interactions, ensuring excellent customer service standards are met
Assist with bookkeeping activities, including invoicing and basic financial record keeping
Support medical or dental office functions if applicable, including patient check-in/out and appointment coordination
Maintain organization of office supplies and ensure the office environment is tidy and efficient
Experience
Prior office experience with a focus on clerical duties and administrative support preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks is mandatory or similar bookkeeping software is a plus
Strong typing skills with attention to detail for proofreading and data entry tasks
Familiarity with multi-line phone systems and front desk responsibilities
Customer service experience demonstrating professionalism and effective communication skills
Previous medical or dental office experience is advantageous but not required; relevant roles include dental receptionist or medical office assistant
Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment
