Office Receptionist & Clinical Operations Coordinator

Bluegrass Advanced Mental Health is building a modern outpatient psychiatry practice centered on clinical excellence, ethical care, innovation, and strong patient outcomes. We treat complex and treatment-resistant psychiatric conditions, including treatment-resistant depression, OCD, and major depressive disorder, using advanced interventional therapies such as TMS and Spravato.

We are seeking a warm, organized, and detail-oriented professional to be the first point of contact for our patients and the operational anchor of our front office. This is a growth role. You will begin by owning the reception and front-desk experience, and as the clinic scales you will take on increasing responsibility for clinical operations, including scheduling, intake coordination, and insurance and billing oversight. About Our Patient Population
Our patients are children, adolescents and adults living with serious and often treatment-resistant mental health conditions. In this role you may interact with individuals experiencing depression, anxiety, suicidal thoughts, or the effects of trauma. We are looking for someone who can hold those interactions with steadiness, warmth, and compassion. We provide training and a supportive team environment, and we want every applicant to understand the nature of this work before applying.

What You'll Do Day to Day
Welcome patients warmly, verify and update their information at each visit, and create a calm, professional, and reassuring front-office experience.

Build genuine rapport with patients, remembering names and details, and treat every person with patience, respect, and sensitivity to their individual circumstances.

Answer phone calls from patients, pharmacies, and referring providers, and respond to questions, concerns, and boundaries with professionalism and care.

Book, confirm, and reschedule patient appointments, and help keep provider schedules accurate and full.

Answer general, non-clinical questions about the practice and our services, and direct clinical questions to the appropriate licensed provider.

Provide front-office support for one to three providers and adapt to the changing daily needs of the clinic.

Help patients navigate concerns related to claims, billing, and insurance, coordinating with the right internal contacts to resolve them.

Keep the front office and patient-facing areas clean, orderly, and welcoming (a daily janitorial service handles routine cleaning).

Your Growth Path: Clinical Operations
As the clinic grows and you master the front office, this role is designed to expand into clinical operations management. Over time, and with training and support, you will take on responsibilities such as:
Coordinating patient intake and care coordination workflows across providers.

Owning and optimizing scheduling across the practice as patient volume increases.

Providing oversight of billing and insurance processes and helping resolve escalated issues.

Supporting and eventually helping supervise and schedule front-office staff as the team expands.

Contributing to the development of office policies, workflows, and best practices.

These responsibilities develop over time and are not expected on day one. We are hiring for trajectory, not just the starting task list.

What We're Looking For
High school diploma or GED required.

At least one year of full-time customer service, reception, or front-office experience; healthcare or clinic experience is strongly preferred.

Excellent verbal and written communication and basic math skills.

Strong de-escalation skills and the ability to stay calm and compassionate in emotionally sensitive situations.

Proven ability to multitask, prioritize, and stay organized in a fast-paced environment.

Excellent critical thinking, time management, and attention to detail.

A genuine desire to help others improve their lives, and the interpersonal skill to connect with people and earn their trust.

Interest in growing into a clinical operations role as the practice scales.

Position Details
Employment type: Full-time, salaried.

Office hours: Monday through Friday, 8:30 AM to 5:30 PM.

This position is contingent on successfully completing a criminal background check and drug screen upon hire.

Pay: $40,000.00 - $48,000.00 per year
