Duties
Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls accurately and courteously
Handle incoming correspondence, emails, and inquiries with professionalism and efficiency
Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
Schedule appointments, manage calendars, and coordinate meetings using Google Workspace, Microsoft Office tools and IMS
Support office management tasks such as ordering supplies, maintaining cleanliness, and ensuring office equipment functions properly
Skills
Proven experience in office management or administrative support roles with strong clerical skills
Excellent customer service abilities coupled with professional phone etiquette
Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Familiarity with multi-line phone systems and data entry procedures
Bilingual skills are highly desirable to serve diverse client needs effective
Strong organizational skills with keen attention to detail for proofreading and filing tasks
Ability to prioritize tasks efficiently through effective time management and multitasking capabilities
Experience in medical or dental receptionist roles is a plus, along with personal assistant experience for versatile support needs
