Job Overview
We are seeking an energetic and Bilingual English/Spanish detail-oriented Orthodontic Receptionist to join our dynamic dental team. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing a variety of administrative and clinical support tasks. Your enthusiasm and professionalism will help create a welcoming environment, ensuring smooth clinic operations and positive patient experiences. The ideal candidate will possess strong office management skills, familiarity with dental terminology, and experience with electronic health record (EHR) systems, particularly in orthodontic settings. This paid position offers an exciting opportunity to contribute to patient care and clinic efficiency in a fast-paced environment.
Duties
Greet patients warmly and manage patient check-in and check-out processes efficiently using dental software such as Dentrix
Verify insurance coverage, perform insurance eligibility checks, and process claims
Schedule appointments accurately with attention to patient preferences and provider availability, utilizing scheduling tools
Collect payments, and cleans ledger and patient accounts
Maintain organized medical records, update patient information, and ensure compliance with HIPAA regulations for health information management
Answer multi-line phone systems professionally, providing excellent patient service and appointment support
Assist with intake procedures, including collecting medical history forms and explaining treatment plans to patients
Support clinic operations by managing filing systems, handling correspondence, and performing clerical tasks such as typing reports and maintaining office supplies
Enter procedures codes
Run End of day reports
Manage recall systems and outstanding treatment list
Any other tasks or duties as assigned
Experience
Previous experience as a dental receptionist or in a medical administrative support role within a dental or orthodontic clinic preferred
Proficiency with electronic health record (EHR) systems such as Eaglesoft, Dentrix, or similar platforms is highly desirable
Strong knowledge of dental terminology, medical coding (ICD-10/ICD-9), CPT coding, and insurance verification processes
Demonstrated ability to handle medical billing and collections effectively using Meditech or Athenahealth systems
Excellent computer skills including Microsoft Office Suite (Word, Excel), data entry (10 key typing), and familiarity with office management software
Bilingual abilities are a plus to serve diverse patient populations effectively
Exceptional phone etiquette, customer service skills, and ability to multitask in a fast-paced environment
Experience working with health information management standards such as HIPAA compliance is essential
