Job Description

Oak Tree Therapy is a growing psychotherapy practice that provides services in and around the Winnipeg area to adults, youth, children and families. Oak Tree Therapy is looking to immediately hire a part-time administrative assistant. There are two locations - one on Henderson and one on Main St. Successful candidate would be expected to work from both locations as needed. Approximately 20 hours per week that may fluctuate depending upon need. The successful individual will be able to perform the following tasks:
Responsibilities:
Greeting and welcoming clients
Performing clerical functions such as filing, excel spreadsheets, entering information and basic formulas into excel. Using Adobe to complete forms, creating some new forms and updating as required.

Submitting funding requests and following up on submitted requests
Processing payments, sending paid invoices to clients.

Scheduling appointments with clients and completing required paperwork with clients.

Answers telephone in a warm and inviting manner
Cleaning bathrooms, emptying garbage's, dusting, office organization, including therapy rooms.

Following up with clinicians for reports, and submitting.

Requesting funding, direct billing to insurance, and collecting payment.

Other duties as assigned
Qualifications:
Grade 12 education
1-2 years experience in an office environment
Able to maintain filing systems, organized, Excel, Word, Adobe
Bright, professional, and courteous with excellent communication skills; both verbal and written. Problem-solver, self-starter, reliable, team player, responsible in unsupervised environment.

Ability to multi-task and execute a wide range of details and tasks quickly and effectively
Good judgement/common sense in maintaining the confidentiality of clients, along with strong customer service and relationship-building skills
Ability to work independently and in a team environment
Strong knowledge of Google Drive software, and Microsoft Office products such as Excel and word. Knowledge of QuickBooks is considered an asset
Previous experience in a psychotherapeutic or other clinic environment is considered an asset
Criminal Records Check with Vulnerable Persons Sector upon successful hire
Child abuse and Adult abuse registry check upon successful hire
