Job Description

This Isn’t Just a Front Desk Job; It’s a Critical Role in Patient Care, Practice Flow, and Helping Families Feel Seen and Supported.

Whether a parent is calling for the first time, checking in for an appointment, or trying to understand what comes next, you're the voice who helps them feel welcomed, remembered, and supported.

At Developmental Steps, that voice could be yours.

We’re looking for a Patient Care Coordinator who brings warmth, organization, focus, and compassion to every interaction. Someone who doesn’t just schedule appointments, but helps create calm in the middle of a busy day. Someone who doesn’t just answer phones, but helps families feel confident that they are in the right place.

This role isn’t about punching the clock. It’s about being an important part of a pediatric therapy practice that believes in human connection, clear communication, teamwork, and creating a positive experience for every family who walks through the door.

Why This Role Matters
You’ll be one of the first impressions families have of Developmental Steps, and often one of the people they interact with most throughout their experience with us.

From that first phone call to check-in, scheduling, insurance questions, and follow-up communication, you’ll help guide families through every step of the process.

Our clinic is a fun, energetic environment surrounded by kids, therapists, and an administrative team that works closely together. We genuinely value the relationships within our team and want someone who enjoys being part of a collaborative, family-like workplace.

If you love solving problems, keeping things organized, communicating with people, and helping a busy practice run smoothly, you may be exactly who we’re looking for.

What You’ll DoNew Patient Conversions & Scheduling
Respond quickly and warmly to incoming patient and family inquiries.

Contact leads by phone and email and help convert inquiries into scheduled evaluations.

Coordinate appointments and maintain an organized clinic schedule.

Help keep schedules full and support consistent patient attendance.

Communicate clearly with families regarding appointments, scheduling changes, and next steps.

Insurance & Financial Coordination
Verify insurance benefits and assist with authorizations.

Help families understand coverage, copays, and other financial responsibilities.

Support billing and collections processes as needed.

Collect patient payments professionally and accurately.

Case Management & Data Accuracy
Enter and update patient information accurately in the EMR.

Maintain complete and organized electronic patient records.

Ensure documentation and administrative information are entered correctly and on time.

Use Google Workspace and other clinic systems to support day-to-day administrative operations.

Front Office Operations
Welcome patients and families and create a positive, organized front-desk experience.

Manage patient check-in and check-out.

Monitor the schedule and communicate with therapists and administrative team members throughout the day.

Answer phones, respond to emails, and assist families with questions.

Follow up with patients and families regarding scheduling, cancellations, and outstanding needs.

Help keep the clinic organized and running smoothly throughout the day.

You’re a Great Fit If You:
Have 1–2 years of administrative, front desk, or Patient Care Coordinator experience in a healthcare setting.

Are comfortable communicating with patients and families both by phone and email.

Have experience with scheduling, insurance verification, authorizations, and EMR systems.

Are comfortable using Google Workspace and learning new technology.

Can manage multiple priorities while staying calm, accurate, and organized.

Enjoy solving problems and helping systems run smoothly.

Are confident following up with patient leads and helping turn inquiries into scheduled evaluations.

Bring a positive attitude and enjoy working as part of a close-knit team.

Would enjoy working in a fun pediatric environment surrounded by children and a collaborative team of therapists and administrative staff.
