Job Description

Position Summary
We are looking for a friendly, organized, and dependable Pediatric Dental Office Receptionist to join our growing team. As the first point of contact for our patients and families, you will play a vital role in creating a welcoming experience while keeping our busy pediatric dental practice running smoothly. This position requires exceptional customer service, strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Primary ResponsibilitiesPatient Care & Customer Service
Welcome patients and families with a warm, positive attitude.

Answer incoming phone calls promptly.

Respond to text messages, emails, voicemail, and other office communications throughout the day.

Offer refreshments to parents during longer appointments.

Assist patients with check-in, paperwork, scheduling, and questions.

Help maintain a clean, welcoming lobby and play area, including sanitizing toys throughout the day.

Scheduling & Appointment Management
Schedule new and existing patient appointments.

Fill open appointment times using ASAP lists, recall lists, and referral tracking.

Make reminder calls and send appointment reminder texts.

Provide special instructions for sedation appointments, including fasting reminders.

Confirm General Anesthesia (GA) appointments and travel arrangements.

Contact patients regarding broken or missed appointments and assist with rescheduling.

Prepare schedules and routing slips for upcoming clinic and surgery days.

Insurance & Patient Records
Verify dental insurance benefits and eligibility before appointments.

Update patient demographics, insurance information, and provider assignments.

Ensure required patient forms are current.

Obtain records from referring offices and specialists.

Process referral information and maintain referral tracking.

Prepare new patient packets and required documentation.

General Anesthesia (GA) Coordination
Coordinate General Anesthesia scheduling and documentation.

Confirm arrival, pre-operative appointments, and surgery instructions with patients.

Audit GA appointments to ensure all required authorizations, travel orders, and documentation have been completed.

Administrative Duties
Open and prepare the office each morning.

Monitor voicemail, texts, emails, and office communications throughout the day.

Process payments accurately.

Enter specialist reports and communicate with providers.

Review administrative notes requiring follow-up.

Assist coworkers and providers whenever needed. (And they will assist you!)
Qualifications
High school diploma or equivalent required.

Previous dental, medical, or healthcare front office experience preferred.

Pediatric dental experience is a plus.

Excellent customer service and communication skills.

Strong organizational and multitasking abilities.

Comfortable learning new computer software and office systems.

Positive attitude, dependable work ethic, and attention to detail.

Enjoys working with children and families.

Compensation & Benefits
Schedule
Full-time position
Monday through Friday
7:45 AM – 4:15 PM
30-minute lunch break
Compensation
Starting wage of $20.00 per hour, based on experience.

Paid Vacation (Full-Time Employees)
Eligible after successful completion of a 90-day introductory period.

Accrue up to 10 paid vacation days (80 hours) per year, prorated based on hire date.

Additional vacation time may be earned through continued employment, increasing annually up to 15 paid vacation days (120 hours maximum).

Part-time employees are not eligible for paid vacation benefits.

Medical Insurance
Available to full-time employees after 90 days of employment.

Option to enroll one dependent.

Just Kids, Inc. pays 50% of the employee's medical insurance premium, with the remaining portion paid through payroll deduction.

401(k) Retirement Plan
Eligible after:
Age 21 or older
One year of employment
At least 1,000 hours worked
Enrollment begins on the next January 1 or July 1 after eligibility requirements are met.

Maximum employer match of 4%.
