Job Description
Join our dynamic healthcare team as a Phone Room Operator / Medical Receptionist, where your energetic and detail-oriented approach will be vital in delivering exceptional patient service and seamless administrative support. In this role, you will be the first point of contact for patients and visitors, managing multi-line phone systems, scheduling appointments, verifying insurance, and maintaining accurate medical records. Your proactive communication skills and familiarity with electronic health record (EHR) systems will ensure a smooth flow of operations within our busy medical or dental office environment. Responsibilities
Answer incoming calls promptly using multi-line phone systems, providing courteous and professional customer service.
Schedule patient appointments efficiently while managing calendar updates within various EHR systems such as Epic, Meditech, Athenahealth, or Dentrix.
Verify insurance coverage and benefits, including Medicare and Medicaid, ensuring accurate billing and coding using CPT, ICD-9, ICD-10 codes.
Assist patients with intake procedures, collecting necessary documentation and updating medical records securely in compliance with HIPAA regulations.
Manage front desk operations by greeting patients, handling check-in/check-out processes, and maintaining a welcoming environment.
Review documentation for accuracy and completeness; perform medical coding tasks related to billing and care plans.
Support medical office management tasks such as filing, data entry (including 10-key typing), and maintaining organized medical records.
Utilize computer skills to navigate EMR/EHR systems like eClinicalWorks or Eaglesoft for documentation review and data management.
Verify insurance information and process claims efficiently to facilitate timely reimbursements.
Maintain confidentiality of patient information at all times in accordance with HIPAA standards.
Qualifications
Proven experience in a medical or dental office setting with strong knowledge of medical terminology, ICD coding (ICD-9/ICD-10), CPT coding, and insurance verification processes.
Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth, Dentrix or Eaglesoft is highly desirable.
Excellent phone etiquette with the ability to handle multi-line phone systems confidently.
Strong organizational skills with attention to detail in documentation review and filing procedures.
Ability to communicate effectively in bilingual settings is a plus; proficiency in additional languages enhances patient interactions.
Prior clinic or hospital experience demonstrating competence in medical scheduling, billing, and administrative support is preferred.
Competent computer skills including Microsoft Office Suite (Word, Excel) along with typing skills (10-key preferred).
Knowledge of HIPAA regulations ensuring the privacy and security of health information management.
