Job Description
Please Note: This is a long-term administrative and patient experience position. It is not intended as a pathway into nursing, injecting, or other clinical roles. Candidates seeking to build a career in front office operations are encouraged to apply.

As the first point of contact for most patient interactions, this individual sets the tone for the entire BeautyBlade experience. We believe first impressions matter, and this is one of the most important positions in our organization.
Responsibilities
Deliver a polished, concierge-level patient experience from the first phone call through patient checkout.
Welcome every patient with professionalism, warmth, and confidence.
Answer incoming phone calls and respond to patient inquiries promptly and professionally.
Schedule consultations, appointments, and follow-up visits while maintaining a highly organized provider schedule.
Coordinate patient check-in and check-out efficiently and accurately.
Anticipate patient needs and proactively resolve issues before they become problems.
Handle challenging patient interactions with empathy, professionalism, and sound judgment.
Communicate effectively with providers and clinical staff to ensure a seamless patient experience.
Maintain accurate patient records using Nextech EMR and other office software.
Perform administrative tasks including filing, scanning, data entry, payment collection, and other front office duties.
Maintain a clean, organized, and professional reception area.
Assist with daily office operations and contribute to a positive, team-oriented culture.
Qualifications
Professional, polished, and confident demeanor.
Exceptional verbal and written communication skills.
Outstanding interpersonal and customer service abilities.
Ability to remain calm and composed in a fast-paced, high-volume environment.
Strong multitasking, prioritization, and organizational skills.
Excellent attention to detail.
Self-motivated with the ability to work independently and solve problems proactively.
Highly tech-savvy and able to learn new software quickly.
Proficiency with Microsoft Office and general computer systems.
Experience with Nextech or other electronic medical record (EMR) systems is preferred.
Spanish fluency is highly preferred but not required.
Previous experience in plastic surgery, aesthetics, medical, dental, concierge, luxury hospitality, or other high-end customer service environments is strongly preferred.
