Job Description
Job Overview
Elite Sports Injury is looking for a friendly, organized, and highly reliable Receptionist to join our administrative team.
With approximately 40 therapists working across five Winnipeg clinics, our administrative teams manage a high volume of incoming calls and appointment inquiries each day. This position, located at our St James facility, will play an important role in supporting those teams by being one of the first points of contact for clients calling Elite.
The primary focus of this role is client communication and appointment support. You’ll help clients navigate their questions, find the appropriate therapist or service, book and reschedule appointments, and ensure they receive helpful, professional service every time they call.
This is an excellent position for someone who enjoys talking with people, is comfortable working on the phone throughout the day, and can confidently manage multiple requests in a busy environment.
What You’ll Be Doing
Your primary responsibilities will include:
Answering incoming client calls across our five clinic locations
Booking, rescheduling, and cancelling client appointments
Helping clients determine the appropriate clinic, therapist, service, or appointment type based on the information available
Answering common questions regarding appointments, clinic services, therapist availability, and clinic procedures
Navigating the schedules of approximately 40 therapists across multiple locations
Communicating clearly and professionally with clients when appointments need to be changed or scheduling issues arise
Supporting each clinic administrator by helping them manage overflow of incoming call volume and appointment-related inquiries
Documenting relevant client information and ensuring appointment details are entered accurately
Recognizing when a client question or concern needs to be transferred or escalated to a clinic administrator
Providing additional administrative support, facility maintenance, and clinic site administrative sick day/vacation coverage, as required
What We’re Looking For
The right person for this role is someone who can be warm and personable with clients while also being efficient, accurate, and confident.
You will be successful in this position if you:
Have excellent verbal communication and active listening skills
Are comfortable spending a significant portion of your workday on the phone
Can manage a high volume of calls without sacrificing the quality of the client experience
Are highly organized and able to navigate multiple schedules and locations
Can quickly understand what a client needs and help identify the appropriate next step
Remain calm, patient, and professional when clients are frustrated, confused, or dealing with scheduling challenges
Have strong attention to detail when booking and modifying appointments
Are confident using computers and learning new software
Know when to solve a routine issue independently and when to ask for assistance
Are extremely reliable and demonstrate strong follow-through
Enjoy being part of a collaborative administrative team
Consistent availability and reliability are essential
Qualifications
Previous customer service, reception, call centre, or administrative experience is preferred
Strong computer skills are required
Experience working with scheduling or booking software is an asset
Experience in a healthcare, physiotherapy, massage therapy, or multidisciplinary clinic environment is an asset but not required
Experience with Juvonno, Mindbody or similar clinic management software is an asset
