Job Title: Surgery Concierge
Hourly Rate: $24-$28
Department: Front Office
Reports to: Practice Manager
Schedule: Monday-Friday, 6:45am-3:15pm
Location: Dana Point, Ca
Job Summary:
At Niguel Coast Oral Surgery/Dental Implants GPS, our mission is simple: replace teeth and restore confidence in one day. We are looking for a warm, polished, and highly organized Front Office Hospitalian to help create an exceptional patient experience from the moment a patient walks through our doors. This role is ideal for someone who loves hospitality, thrives in a fast-paced healthcare setting, and takes pride in keeping the front office running smoothly. You will be the first impression of our practice and a key part of making patients feel welcomed, cared for, and confident in their experience.
Duties/Responsibilities:
Welcome patients with warmth, professionalism, and genuine care.
Create a calm, polished, and inviting front office environment.
Manage check-in and check-out with accuracy and efficiency.
Support communication flow between patients, providers, and the clinical team.
Answer calls professionally and respond to voicemails, emails, and messages in a timely manner.
Coordinate insurance-related communication and support accurate front-end administrative flow.
Maintain scheduling accuracy by reviewing upcoming appointments, confirming details, and helping keep the schedule organized and on track.
Audit patient accounts and review patient notes to ensure alignment with the ledger and overall account accuracy.
Prepare paperwork, support follow-up tasks, and maintain detailed records.
Proactively solve problems and help protect a high-end patient experience.
Request and support positive patient reviews and help encourage patient referrals.
Track and support key front office KPIs tied to patient flow, responsiveness, reviews, referrals, and service performance.
What Success Looks Like in This Role
Patients are greeted promptly and seated quickly
The front office feels welcoming, organized, and calm
Calls, messages, and patient questions are handled with urgency and care
Scheduling is accurate, organized, and proactively managed
Patient accounts, notes, and ledger details are reviewed carefully and kept aligned
Insurance coordination is handled with professionalism and attention to detail
Patient reviews and referrals are consistently supported through great service and follow-through
KPIs are monitored and performance expectations are taken seriously
Patients leave feeling informed, supported, and well taken care of
The team can count on you to follow through, stay organized, and step in where needed
What We’re Looking For:
High school diploma or equivalent
Strong communication and phone etiquette
Experience in a dental or oral surgery office preferred
Comfort with insurance coordination, scheduling accuracy, and front office administrative responsibilities
Strong attention to detail and confidence auditing patient accounts and notes for accuracy
Ability to manage multiple priorities in a fast-paced environment
A proactive mindset with strong follow-through
Someone who takes ownership, communicates clearly, and works well with a team
