Job Description
As the first person our patients talk to when they call or come to our practice, our Scheduling Coordinators are a mission-critical part of the team at our office. They set the tone for the patient experience which we aim to make delightful and stress-free.
Our boutique, modern orthodontic practice is looking for a warm, friendly, person who is able to deliver impeccable customer service! You must be reliable, have a polished demeanor, and have a can-do attitude. You should be a people person and know how to "sound like you're smiling" when talking on the phone.
The ideal candidate can remain poised under pressure and multi-task, for example being on a call with one person and politely asking if you can put them on a brief hold to pick up another call. Accuracy and diligence in follow-up, follow-through, and attention to detail are essential.
Good computer skills, excellent communication skills, and a team-player mentality are a must.
Experience working in a dental or orthodontic practice with basic knowledge of dental insurance is a plus. You will be asked to verify patients' insurance benefits by communicating with insurance companies via the phone and online portals, as well as submit electronic insurance claims--you will be trained for this if you have no prior knowledge of dental insurance. You will also be responsible for collecting payments from patients, sending and processing invoices.
This is a FULL TIME Position. Bonus pay of $250-500 a month is available for reaching certain monthly scheduling goals and KPIs.
Responsibilities:
Opening the office in the morning
Greet patients upon arrival/dismissal
Respond to patient questions and or concerns in person, via phone, email, or text

Manage the clinical schedule
Follow up on no shows/cancellation of appointments
Insurance verification and claim filing
Payment collection
Checking voicemail daily
Check and respond to emails and texts from patients and other doctors
Maintain a clean and friendly reception, business, and restroom area for patients
Reporting
Sending letters to patients who are not responding to calls or emails
Emailing correspondence to patients and professionals on behalf of the doctor
Assisting with marketing efforts as needed
Explaining financial account status to patients
Coordination of communications with other dental professionals
Assisting with daily tasks to tidy the office
Receiving and organizing shipments of administrative and clinical supplies
Logging receipt of patient lab work
Miscellaneous administrative tasks as needed
Closing the office at the end of the day with corresponding closing tasks
Working with our remote virtual assistant to complete administrative duties
Previous dental or orthodontic or health care office experience is a PLUS but not necessary.
