Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not required. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Responsibilities
Greet visitors and clients with professionalism and courtesy at the front desk
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments and maintain calendars using Microsoft Office or Google Workspace tools
Perform data entry with accuracy into various systems such as QuickBooks or specialized medical/dental software
Handle administrative tasks including filing, photocopying, and organizing documents
Assist with billing, bookkeeping, and basic bookkeeping tasks as needed
Maintain organized records and ensure confidentiality of sensitive information
Provide excellent customer support and address inquiries promptly
Proofread correspondence for accuracy and professionalism
Support office staff with clerical duties to ensure efficient workflow
Qualifications
Proven experience in an office environment, preferably in medical or dental offices
Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software like QuickBooks
Excellent organizational skills with attention to detail and accuracy in typing and proofreading
Exceptional customer service skills with professional phone etiquette
Ability to handle multi-line phone systems efficiently and courteously
Previous clerical or administrative experience is preferred
Familiarity with filing systems and general office procedures
Strong organizational skills to prioritize tasks effectively
Ability to work independently as well as part of a team in a fast-paced environment
