Job Title: Scheduler/Receptionist
Location: This position is worked in office - Edgewood, Washington.

Job Type: Full-Time position
Job Summary:
We are seeking a highly organized and detail-oriented Scheduler to join our team at Cross Cultural Communications, a leading provider of interpretation services. In this role, you will be responsible for scheduling appointments for healthcare, academic and other professionals for their clientele/patients requiring language services. The ideal candidate will have exceptional communication skills, the ability to work efficiently under pressure, and a strong understanding of healthcare/professional environments.

Key Responsibilities:

- Coordinate and schedule interpretation appointments for requesters across various professions, including hospitals, schools, social services and virtual/phone appointments.

- Maintain accurate records of all scheduled appointments, ensuring that interpretation services are provided as needed.

- Work closely with requesters to confirm appointment details, including language requirements and specific needs for each session.

- Manage a high volume of incoming calls, emails, and messages to book and reschedule appointments in a timely and professional manner.

- Ensure all appointments are scheduled in compliance with company policies, healthcare regulations, and patient privacy standards (HIPAA).

- Contact interpreters by email, phone and text - matching qualified interpreters with appropriate appointments.

- Handle last-minute scheduling changes, cancellations, or reschedules, and communicate these changes effectively with interpreters and requesters.

- Provide excellent customer service to both in office visitors, interpreters and requesting professionals, addressing any concerns or questions regarding scheduling or interpretation services.

-Give back jobs unable to fill in timely manner. Sending fax notification or notating jobs in scheduling system.

-Complete confirmations daily.

- Support the continuous improvement of scheduling processes and systems, offering suggestions for increased efficiency and accuracy.

-Although scheduling is your primary role, at times you may be assigned other tasks by your supervisor. These tasks unless time sensitive should be secondary assignments to scheduling; as answering phones, scheduling and filling jobs is the primary function that keeps our business growing.

Qualifications:

- High school diploma or equivalent.

- Previous experience in scheduling or administrative support, preferably in a healthcare or language services environment.

- Strong communication skills, both verbal and written, with the ability to interact professionally with diverse clients.

- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.

- Knowledge of healthcare terminology and understanding of HIPAA regulations is a plus.

- Computer proficiency.

- Bilingual (Spanish or other languages) is highly desirable but not required.

- Strong attention to detail and accuracy in all aspects of scheduling and record-keeping.

- Ability to work independently and as part of a team in a collaborative environment.

Physical Requirements:

- Ability to sit at a desk and work on a computer for extended periods.

- Ability to communicate effectively by phone and email.
