We are seeking an energetic and highly organized Scheduling Coordinator to join our dynamic team. Duties
Manage and coordinate appointment schedules using productivity software such as Microsoft Office, Google Workspace, Orthotrac/Sensei Practice Management Software ensuring accuracy and timeliness.
Utilize multi-line phone systems to answer inquiries, schedule appointments, and provide excellent customer support with professional phone etiquette.
Maintain detailed records through data entry, filing, and proofreading to ensure all scheduling information is accurate and up-to-date.
Assist with office management tasks including calendar management, filing systems, and general clerical duties to support daily operations.
Provide exceptional customer service by supporting front desk activities, handling inquiries, and offering bilingual assistance when needed.
Support bookkeeping activities using QuickBooks or similar software to track appointments, billing, and related financial data.
Collaborate with team members to streamline processes, improve office efficiency, and ensure timely communication across departments.
Qualifications
Proven experience in office management or administrative roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, Orthotrac/Sensei Practice Management Software.
Experience with data entry, filing systems, and clerical tasks in a professional setting.
Excellent phone etiquette skills with experience operating multi-line phone systems; bilingual abilities are a plus.
Strong computer literacy with technical proficiency in scheduling tools and basic bookkeeping software like QuickBooks.
Previous experience as a dental or medical receptionist or personal assistant is advantageous.
Demonstrated ability to manage time effectively while handling multiple priorities in a fast-paced environment.
