Eagle Vision Institute is a busy ophthalmology practice dedicated to providing exceptional eye care in a professional, patient-focused environment. We are seeking a friendly, organized, and detail-oriented Surgical Coordinator + Receptionist to join our team and support both front desk operations and surgical coordination for our patients.
Position Summary
The Surgical Coordinator + Receptionist plays a key role in ensuring smooth daily clinic and surgical operations by welcoming patients, coordinating surgical bookings, counseling patients, managing appointments, handling administrative tasks, and supporting both physicians and clinical staff. The ideal candidate is professional, compassionate, highly organized, and comfortable working in a fast-paced medical environment.
This role involves coordinating patient care before and after surgery, communicating with hospitals, surgical facilities, and referring offices, while also assisting with reception duties and maintaining efficient clinic flow.
Key Responsibilities
Greet and check in patients in a courteous and professional manner
Answer and direct incoming phone calls
Schedule, confirm, and manage clinic and surgical appointments
Coordinate surgical bookings, including cataract and other ophthalmic procedures
Communicate surgical dates, instructions, and follow-up information to patients
Liaise with hospitals, surgical centres, optometry offices, and referring physicians
Maintain accurate patient records and update information in the Oscar/ Epic EMR system
Process referrals, insurance information, and billing documentation as needed
Coordinate patient flow and communicate with clinical staff
Handle incoming faxes, emails, and correspondence
Collect payments and issue receipts when applicable
Support technicians and physicians with clinic flow, including patient intake, lane loading, workups, and diagnostic testing as needed
Maintain patient confidentiality and follow privacy regulations
Keep reception and waiting areas organized and welcoming
Qualifications
Previous reception, surgical coordination, or administrative experience required
Experience in ophthalmology, optometry, or healthcare is strongly preferred
Excellent communication and interpersonal skills
Ability to communicate with patients with respect, kindness, and patience
Strong organizational and multitasking abilities
Proficiency with computers, EMR systems, Microsoft Office, and scheduling software
Ability to work efficiently in a fast-paced environment
Professional demeanor and strong attention to detail
Preferred Skills
Knowledge of ophthalmic or medical terminology
Experience handling OHIP billing, referrals, and surgical coordination
Familiarity with Oscar EMR is an asset
Ability to speak additional languages is an asset
