Position Title: Surgical Office Receptionist
Type of Employment: 12 Month Term - Full Time (on-site)
Location: #100-405 Fort Whyte Way, Oak Bluff, MB
Reports To: Clinic Nurse Manager
Job Summary:
Fort Whyte Orthopedics is seeking a Surgical Office Receptionist located in Winnipeg, MB. This role manages patient phone calls, supports front desk reception, schedules follow-up appointments, and ensures smooth patient interactions and flow throughout the clinic. This role requires a team-oriented individual who can multi-task, communicate effectively, and maintain excellent organizational skills. The ideal candidate demonstrates medical knowledge and strong customer service abilities to support patients and ensure clinic operations run efficiently and effectively.
Duties & Responsibilities Overview:
Schedule follow-up appointments for patients via phone and manage clinic emails as needed for appointment bookings, ensuring emails are forwarded to the appropriate team members.
Support Surgical Office Assistants (SOAs) with basic clerical tasks, phone coverage, and client support as needed.
Update Provincial Hip and Knee referral in SWIM system.
Assist with front desk reception and overall clinic coverage duties on days with two or more doctors.
Manage on-call referrals, follow-up appointments, and upload ER reports.
Cover phones for other staff during holidays or busy clinic days as needed.
Process and sort clinic faxes.
Set up, test, and assist patients with cold therapy equipment.
Sort mail and perform light cleaning duties.
Provide administrative support to the Clinic Nurse Manager as needed.
Qualifications and Skills:
Medical Office Assistant schooling or equivalent is preferred.
Medical Terminology course is considered an asset.
2 years of relevant experience within an office environment, preferably in a medical field.
Personal Health Information Act (PHIA) Certification is mandatory.
CPR Certification is required.
Commitment to upholding ethical standards and patient confidentiality in handling sensitive medical information.
Knowledge of medical terminology and administrative processes within a medical practice is considered an asset.
Organizational skills to manage patients and paperwork effectively.
Good communication skills to support patients and team members.
Proficiency in computer skills and relevant software (e.g. Input Health, Wild X, Google Docs).
Experience with software to book patients such as SWIM and imaging systems such as Velox.
