Job Overview
Progressive expanding practice in Southern Niagara Region, The Pines Dental, is seeking a dedicated and organized Treatment Coordinator to join our dedicated dental team. The ideal candidate will serve as a vital link between patients and the clinical team, ensuring a smooth and positive patient experience from initial consultation through treatment planning and scheduling. This role requires excellent communication skills, familiarity with dental and medical terminology, and proficiency in office management systems. The ideal candidate will be extremely compassionate and carry themselves with a high level of professionalism. Prior experience in dental or medical office settings is highly preferred, along with strong administrative capabilities.

The Treatment Coordinator will play a key role in enhancing patient satisfaction and practice efficiency by managing appointments, explaining treatment options, and coordinating care plans.

Responsibilities
Act as the primary point of contact for patients, providing exceptional front desk service via multi-line phone systems and in-person interactions.

Explain treatment plans, financial options, and insurance coverage clearly to patients to facilitate informed decision-making.

Schedule appointments efficiently using electronic medical records systems (Tracker).

Verify insurance benefits and assist patients with understanding their coverage.

Manage patient records accurately within electronic medical records systems, ensuring confidentiality and compliance with HIPAA regulations.

Coordinate with clinical staff to ensure timely delivery of treatments and follow-up care.

Assist with administrative tasks including data entry, filing, and managing correspondence related to patient care.

Maintain a professional and welcoming office environment that reflects the practice’s standards of excellence.

Qualifications
Prior experience as a dental receptionist or in a dental or medical office setting is highly desirable.

Proficiency with electronic medical records systems such as Tracker or similar platforms.

Strong knowledge of dental terminology and general medical terminology.

Experience working with multi-line phone systems and handling front desk responsibilities.

Excellent communication skills—both verbal and written—with the ability to explain complex information clearly to patients.

Exceptional organizational skills with attention to detail in managing schedules and patient records.

Ability to work effectively in a fast-paced environment while maintaining professionalism and compassion.

Team player
